Client Terminations

How to terminate a client in isolved

  1. HR Butler receives notification from a client indicating their desire to terminate services.
    1. If Client Support was not included in this communication, please forward to payrollgroup@hrbutler.com
  2. Client Support Rep/Payroll Specialist will forward the Client Termination Questionnaire to the appropriate contact, cc: their individual Supervisor, HCM Cient Support/Payroll Manager, Tax Manager, Sales and HR Manager, Finance
  3. Once questionnaire is returned, HCM Client Support Supervisor will:
    1. Review timeline for termination
      1. Determine termination billing
        1. Year End Processing (W2/1099, thumb drive, ACA, extended access)
        2. Add-on Services that require min 12 month’s of service need to be charged for any remaining months due
      2. Review for additional services that may need to be stopped
        1. Advanced Scheduling
        2.  Workforce Scheduling
        3.  Conversational Virtual Assistant
        4.  Predictive People Analytics
        5.  Occurrence tracking
        6.  L&G  ( look under University legal service for the drop down.)
        7.  Attract &Hire ( 3 legal services - Applicant Tracking, Applicant Tracking Data Beacon, iHire/ATS 1 )
        8.  S&P
        9.  Compensation Management
        10.  Expense Management
        11.  COBRA
        12. HRA
        13.  FSA
        14.  Paykonnect (term in paykonnect)
      1. Determine if timeclocks should be returned (if any)
    1. Delete payroll run schedule after final payroll is processed
    2. Enter stop date for client user access (30 days after final check date)
    3. Change status on Legal Company screen to appropriate termination status
    4. Review tasks below to ensure appropriate steps have been completed
    5. Notify Tax in hubspot ticket that payroll tasks are now complete (move to tax terminations)
    6. Notify Operations via hubspot ticket that billing is ready to be reviewed. Notate if any fo the above services were active and have now been ended

    7. Tax to review tasks below for completion
