This SOP outlines the standardized process for requesting and provisioning HubSpot access for new employees. It ensures timely, secure, and consistent setup of user accounts in HubSpot.

 


1. Purpose

This SOP outlines the standardized process for requesting and provisioning HubSpot access for new employees. It ensures timely, secure, and consistent setup of user accounts in HubSpot.


2. Scope

This procedure applies to all managers and supervisors requesting HubSpot access for their direct reports or new employees.


3. Responsibilities

  • Managers/Supervisors: Responsible for submitting complete and accurate access requests.

  • Brittany Clowers: Responsible for provisioning HubSpot access and confirming account setup.

  • Employee: Responsible for completing the setup process upon receiving the HubSpot access email.


4. Procedure

Step 1: Initiate the Request

  • The employee’s manager or supervisor must send an email to Brittany Clowers.

  • The subject line should clearly indicate that the request is for HubSpot access.

  • The body of the email must include:

    • Employee’s full name

    • Employee’s company email address

    • Access details, which must be either:

      • The name of an existing employee whose access permissions should be duplicated, or

      • A list of specific access needs or permission levels.


Step 2: Account Setup by Brittany Clowers

  • Upon receiving the request, Brittany Clowers will:

    • Review the provided information

    • Set up the employee’s HubSpot account with the appropriate permissions

    • Respond to the original email thread to confirm the setup is complete


Step 3: Employee Setup

  • The new employee will receive an automated email from HubSpot prompting them to:

    • Complete their account registration

    • Set their password and configure their profile as needed


Step 4: Timeframe

  • This process will be completed within 8 business hours of receiving the request, assuming all necessary information is included in the initial email.

  • If a response or confirmation is not received within 8 business hours, the requester should follow up directly with Brittany Clowers via email to ensure the request is being processed.

5. Compliance

Failure to follow this procedure may result in delays in HubSpot access provisioning. Ensure all required information is provided to avoid processing delays.
