Initiate New Service – Attract & Hire (Applicant Tracking System)

To provide a step-by-step process for initiating and setting up the Attract & Hire service through isolved, including sending service agreements, enabling legal services, and completing the Single Sign-On (SSO) setup for new clients.

 

Scope

This SOP applies to all HR Butler Implementation Specialists and team members responsible for launching or configuring Attract & Hire services for clients through isolved.


Responsibilities

Role Responsibilities
Implementation Specialist (IS) Completes the new service initiation, submits agreements, enables legal services, and confirms system connectivity.
isolved Account Manager (Robert Tobin) Reviews and approves new service requests.
Attract & Hire Representative (Holly Webb) Provides Account ID and assists with onboarding and implementation setup.
Applicant Tracking Team Finalizes client onboarding and provides training materials to the client.

Procedure

Step 1: Initiate the Service

  1. Complete the Attract & Hire New Service Agreement.

    • File Name: isolvedCertifiedPartnerAddOnServicesAgreement New Version.pdf

Add On Service Agreement

  1. Email the completed agreement to:

    • Robert Tobin (isolved Account Manager): rtobin@isolvedhcm.com

    • Holly Webb (Attract & Hire Rep): holly@isolvedhire.com

  2. Subject line should read:
    “New Attract & Hire Service Request – [Client Name]”

  3. In the email body, include:

    • Client name and Client ID

    • Effective date for service start

    • Your contact information


Step 2: Wait for Confirmation from isolved

You will receive an email confirmation from Holly Webb similar to the following:

“Here is the Account ID so that you can finish setting up the Legal Services area for the SSO to work properly.”

Example:
Account ID: 13ab845f789b931d93b7

The confirmation email will also include the SSO Setup Guide link and instructions.


Step 3: Add Client Access in isolved

Once the confirmation is received:

  1. Log in to isolved.

  2. Navigate to:
    Security > Partner Users

  3. From the Partner drop-down, select: isolved Hire

  4. Click Apply Filter

  5. Go to the Client Access tab.

  6. Click the Add Client (+) icon.

  7. Enter the Client Code (Client ID), click Add, then Save.

Note: For clients with multiple legal entities, only the main Client ID must be added.

This step ensures the Attract & Hire team can view the client and begin the onboarding setup.


Step 4: Configure Legal Services in isolved

The following three legal services must be activated for SSO functionality:

Legal Service Purpose
Applicant Tracking Enables SSO and billing setup
Applicant Tracking Data Beacon Allows data flow and sync with isolved Hire
iHire/ATS 1 Completes the SSO connection from isolved to the Applicant Tracking system

4.1 Applicant Tracking Legal Service

  1. Go to Client Management > Client Maintenance > Legal Services

  2. Locate Applicant Tracking and click Edit

  3. Check the box to activate the service

  4. Enter the Account ID (from isolved Hire confirmation email)

  5. Click Save

  6. Go to the Integration Overrides tab and click Edit

    • SSO Application Name: isolvedHCM

    • SSO URL: admin.isolvedhire.com/sso/

  7. Click Save

Note: If the client uses ApplicantPro, use the URL:
admin.applicantpro.com/sso/


4.2 Applicant Tracking Data Beacon Legal Service

  1. Navigate to Client Management > Client Maintenance > Legal Services

  2. Locate Applicant Tracking Data Beacon and click Edit

  3. Check the box to activate the service

  4. Enter the same Account ID provided

  5. Click Save

Integration Overrides are not required for this service.


4.3 iHire/ATS 1 Legal Service

  1. Go to Client Management > Client Maintenance > Legal Services

  2. Locate iHire/ATS 1 and click Edit

  3. Check the box to activate

  4. Enter the same Account ID

  5. Click Save


Step 5: Confirm Integration Logs

  • Navigate to Integration Logs under Legal Services.

  • Confirm no errors appear after activation.

  • If errors exist, correct them and revalidate the connection.


Step 6: Enable SSO for Client and ESS Users

After setup is complete (typically after 24 hours):

  1. Navigate to Security > Roles

  2. Create new roles as follows:

Role Name User Type Rule to Update
Applicant Tracking SSO Client User Access Applicant Tracking SSO → Full Access
Applicant Tracking SSO – ESS Self Service Access Applicant Tracking SSO → Full Access

These roles allow managers, supervisors, and self-service users to access the system directly through SSO.


Step 7: Create Client User Group for Rehire Functionality

  1. Navigate to Client Management > Workflow Setup > Client User Groups

  2. Click Add New and name it: ApplicantPro

  3. Add this group to the workflow route:

    • Path: Client Management > Workflow Setup > Workflow Routes

  4. Assign the Partner User to the new Client User Group:

    • Path: Security > Partner Users → Client Group Access tab → Check ApplicantPro → Save


Step 8: Client Communication

Once setup is complete, the client will receive a Welcome Email from isolved Hire (Holly Webb) including:

  • Branded career site URL

  • Admin login link

  • Implementation checklist

  • Training webinar links

Example:

  • Career Site: clientname.isolvedhire.com

  • Admin Login: admin.isolvedhire.com

  • Training Links:

    • Admin Training #1: Job Posting, Questions, Adding Users

    • Admin Training #2: Reviewing Applicants, Reports, Settings


Step 9: Verify Completion

  • Confirm the client’s SSO and isolved Hire portal function correctly.

  • Document completion in HubSpot under the client’s implementation ticket.

  • Mark status: Closed – Add-On Service Completed (Attract & Hire).
